Canadian cloud solution provider Softchoice has dramatically reduced the time required to summarize meetings by adopting Microsoft 365 Copilot, cutting the effort by an impressive 75%. This move is part of the company’s broader strategy to leverage generative AI tools to enhance productivity for both its employees and customers.
Recognizing the potential of conversational AI early on, Softchoice set out to integrate these tools across its operations safely and securely. “In the early stages of our AI integration, we understood the significant value that conversational AI could offer. We focused on equipping our team to utilize these tools effectively,” said Matt Vasil, director of emerging technologies at Softchoice. “Adopting Microsoft 365 Copilot for our employees was a logical next step. With its launch, we expanded our AI policy to empower our teams to innovate in their workflows while providing comprehensive training and continuous support.”
Softchoice’s approach to implementing Copilot was deeply user-focused, aiming to tailor the AI tool to the specific needs of its diverse workforce. The company identified five primary roles—seller, delivery agent, content creator, analyst, and people manager—and engaged over 50 employees representing these roles to trial Copilot over a three-week period. This pilot program provided valuable insights into how Copilot could streamline various tasks and improve efficiency.
The results of the pilot were striking. Copilot not only reduced the time taken to summarize meetings by 75% but also significantly cut down the time to create presentations by 62%, develop eLearning modules by 70%, and review bid proposals by 50%. These findings underscore Copilot’s transformative impact across different functions within the organization.
“Engagement and productivity peak when employees are focused on meaningful and rewarding work,” said Amy Hansen, director of customer success and advisory services at Softchoice. “The adoption of Microsoft 365 Copilot has been crucial in freeing my team from mundane administrative tasks like taking meeting minutes, tracking action items, and following up. Many team members have shared how Copilot has saved them considerable time, allowing them to concentrate more on engaging with clients and driving business outcomes instead of getting bogged down in note-taking.”
Through the implementation of Microsoft 365 Copilot, Softchoice continues to pave the way in integrating AI into everyday workflows, enhancing the overall productivity and job satisfaction of its employees while delivering superior service to its clients.
