A team can spend more time reconciling spreadsheet copies than updating the information inside them. Files named “final,” “final-new,” and “final-approved” are often symptoms of an unclear collaboration process.

Excel co-authoring allows people to work in the same workbook, but the feature works best when the team agrees on a shared location, compatible applications, and responsibility for the workbook’s structure.

    Establish one working location

Microsoft’s co-authoring guidance identifies OneDrive, OneDrive for Business, and SharePoint Online as supported storage locations. Participants also need an Excel experience that supports co-authoring.

The documentation notes that an unsupported Excel version can cause a locking problem for other collaborators. Sharing the correct link is therefore only part of the setup; the applications people use also matter.

Choose one workbook as the operational source. Put its link in a stable team location and stop circulating editable attachments for the same task.

If someone needs a private analysis copy, name it accordingly so it is not mistaken for the shared record.

    Understand when changes are saved

Microsoft explains that AutoSave saves changes frequently in supported Microsoft 365 applications when files are stored in the appropriate cloud location.

This changes an established habit: editing an original document and choosing Save As afterward can already have changed the original. Microsoft recommends using Save a Copy before making changes that should belong only to a separate version.

Teach this distinction during setup. It is particularly important for reusable budget sheets, quotations, and reporting templates.

Separate data entry from structural changes

Create an understandable division between everyday updates and changes to formulas or layout. For example, a sales team might enter transactions while one designated owner maintains the reporting logic.

This is a suggested working convention, not a restriction imposed by co-authoring. Its purpose is to reduce surprises.

Use clear column names and document required fields. Agree how the team identifies a new record, corrects a mistake, and handles an incomplete entry. A shared workbook becomes harder to trust when each person uses a different interpretation of the same column.

    Coordinate changes that affect everyone

Adding a worksheet may be harmless; replacing a calculation used throughout a report deserves notice and review. Plan substantial changes when collaborators can verify their effect.

Test revised formulas on representative examples before relying on their outputs. Include empty cells, unusual values, and records near important boundaries.

Also establish a short routine for resolving uncertainty. If two people disagree about an entry, use a comment or another agreed discussion channel rather than repeatedly overwriting one another.

    Review the working process

After the first week, ask where people still create separate copies. The reason may reveal a missing permission, an unsupported application, or a legitimate need for a different workflow.

Adjust the process around those findings. Co-authoring is most useful when it supports a shared understanding of the data, with an identifiable owner and a predictable way to make changes.
